

Microsoft Teams and Cisco WebEx Meetings
Teams and WebEx are approved for unclassified sensitive discussions. This means that discussions of Unclassified Controlled Nuclear Information (UCNI) and Official Use Only (OUO) is permitted over Teams audio channels.


Dial-in or phone-in participants from public communication channels do not provide the required protections for the information. For this reason, if an attendee is using dial/phone-in, such as personal or government cellphones and home phones, sensitive discussions are not allowed.
Foreign National participation in SRS hosted conferences where sensitive information is presented is not permitted.
Sharing your screen with others outside the hosted videoconferencing session is not permitted.
Caution: EM and NNSA secure facilities vary in their permitted use of conferencing tools. Follow the specific facility technical and security rules for entry and use of equipment with camera and microphones. The responsible Area Security Representative can assist in determining the acceptable video/audio equipment rules for specific secure facilities.
- Cameras may not be activated in any secure area. EM has one exception for camera use with Microsoft Teams in Limited Areas and requires users to: a) procure government purchased models specifically approved for conferencing; b) blur or replace the background using Teams if your background has any visible information; and c) cover an embedded camera using a sliding block or disconnect when not actively in use.
- Microphones with a 3.5 mm jack are permitted for business use in secure facilities where SRS iOS Device entry is permitted and in NNSA Limited Area facilities. User requirements include: a) The microphone must utilize 3.5mm jack and no other features than simple microphone; b) Bluetooth, USB, or those with other integrated features with the microphone are not permitted; and c) Microphones must be disconnected when not actively being used
- Bluetooth headsets are prohibited for use with conferencing anywhere (even at home or in Property Protection Areas)

Use of Artificial Intelligence meeting assistant tools by meeting participants is prohibited!
The use of meeting recording, automated transcription, AI summaries, and other AI meeting assistant tools by the meeting participants is prohibited for this Savannah River Site (SRS) hosted meeting. Any use of AI meeting assistant tools, automated transcription, or meeting recording is at the discretion of the SRS meeting host utilizing approved SRS tools. Any use of these tool will be announced by the SRS meeting host prior to use.
If the meeting will be recorded, the following guidelines must be followed.
The meeting Organizer must announce to the meeting participants that the meeting will be recorded and read the following paragraph.
“Please be aware this meeting is being recorded to include participant shared audio, video, and screens. By participating in this recorded meeting you are providing consent of the recording of your shared voice, image, screen content. If you do not wish to have your voice recorded please do not speak during the meeting. If you do not wish to have your image recorded please turn off your camera or participate by phone.The recorded meeting will be stored in SRS’s Microsoft O365 and will be available to SRS meeting attendees. Additional release of the recorded meeting shall follow SRS Site Policy and Procedures.”
